Festival Assistant

​

We’re looking for a Festival Assistant, who will be responsible for supporting the Asian Woman Festival 2020 team, ensuring the smooth running of administration and delivery relating to our annual festival and pop-up regional events.

The post-holder will work primarily to support the administrative function of the organisation, but there may be opportunities to support with event production and other projects from time to time. 

We are looking for someone who is highly organised with exceptional writing skills, tech wizardry and laser-like attention to detail. 

This is a great opportunity to learn the ropes of festival planning and organisation, to develop your creative writing and communications skills, and to learn about the management and operations of non-profits.

We are looking for someone who is happy to use their initiative, roll their sleeves up and get on with the job as pressures mount in the run-up to the festival.

Key duties and responsibilities include but are not limited to: 

Festival Administration

  • Proactively manage the day-to-day administration for the Asian Woman Festival 2020, including
    the festival email inbox and maintaining electronic filing systems (using Dropbox) 

  • Support in team meetings by preparing the agenda, taking minutes and follow up on actions where required 

  • Create newsletters

  • Provide administrative support to the AWF team as required

Finance 

  • Collate financial information and quotes for internal teams as required

  • General financial support, including managing invoices and expense claims 

​

Communication

  • Request, review and collate speaker biographies and headshots

​

Festival Support

  • Act as first point of contact at The Asian Woman Festival 2020

  • Support festival production and coordination as required

  • Being part of the core delivery team on the day of the festival

  • Prepare festival update reports, including collating monitoring and evaluation data

Essential: ​

  • High-level administrative skills

  • Exceptional organisational skills with an ability to prioritise competing deadlines

  • Excellent written and verbal communication skills

  • Financially literate, with knowledge of basic budgeting tasks 

  • Skilled at developing and maintaining a wide variety of project documentation

  • High level of attention to detail

  • Ability to work proactively with limited supervision

  • Excellent people skills - including the ability to work with a broad range of both internal
    staff and external stakeholders 

  • Creative, innovative and solutions focused

  • Excellent ICT skills including Word, Excel, PowerPoint, Google Drive, Dropbox, Eventbrite

  • Experience of writing and circulating meeting minutes

  • Positive attitude and a ‘can do’ approach

  • Be committed to achieving high standards with the resources available

  • Flexible and remote approach to working

  • You must be based in the UK, preferably West Midlands as this is where our annual festival takes place.

Desirable:

  • Experience using MailChimp (or other similar CRM systems) 

  • Practical experience of coordinating the delivery of events 

  • Track record of working with artists or speakers

  • Experience of working in the arts and/or charity sector

  • Knowledge of GDPR
